2024 Application for Booth Space

(We Are Accepting New Applications at This Time)

Our company would like to participate as a vendor in Horse World Expo, Feb 29-Mar 3 at the Farm Show Complex in Harrisburg, PA. Please send a contract confirming our booth location.

Company information is as follows. (Please note that all event paperwork will be sent using this information. )

This name must match your company name as it appears on your liability insurance policy.
This is how your name will appear to the public; you may leave blank if same as Company Name.
The address where you want event correspondence mailed.

Please list your top three booth choices. If uncertain, leave blank or list booth size requested. If you are a returning vendor and want the same booth, please list "SAME". If one of your requested locations is unavailable, we will contact you by phone or email to help you choose a booth location.
Note: If large equipment like horse trailers, please include brand or manufacturer; if a breed group or stallion owner, please list breed.

If needed, electricity for your booth must be ordered separately. Additional information for ordering electricity will be included in your Exhibitor Information Package which will be mailed to you after this Application is processed. Electric is not included with your space.
Electric is not included with any booth. A walkthrough is performed at the event, anyone found using electric that has not ordered it will be charged with payment due at that time including a $50 on sight late fee.

Payment Policy:
Appropriate payment must be received with this Application and all subsequent payments must be made by dates indicated. New Exhibitor Applications are handled on a first come, first served basis after returning Exhibitors have been accommodated. Applications will be processed once appropriate deposits have been received. After your payment is received, we will be happy to help you in reserving a booth.

Please be aware that checks drawn on non-US banks incur a $30 per check processing fee, please include this fee with each payment if made by check. Exhibitors who use non-US banks may pay by credit card and avoid the processing fees. All booth fees are in US Dollars. All returned checks will incur a service charge of $25.

Returning vendor deadline to retain their 2023 Booth Location is Nov 1. New vendor Applications will be considered until all booths have been filled for your selected category; there is no specific deadline for new vendors. All space is first come, first served within that specific category.

Booth Deposits/Payments are due as follows:
25% of booth rent if received before 11/1, 60% if received between 11/1 and 12/31, 100% if received on or after 12/31

After your initial deposit, additional booth payments are due:
60% of full booth rent due by Nov 1, total booth rent due by Jan 15.

If you are a vendor applying after payment deadlines, your full booth rent is due at the time of Application. There is no deadline to sign up for a booth, we will continue to review new Applications until all booths are sold.

Your application is not considered complete until payment has been received. Please call 301-916-0852 if you would prefer to pay with a credit or debit card by phone. We accept all major credit cards.

Insurance Requirements:
All exhibitors must obtain liability insurance and have Equestrian Promotions, Inc, named as an additional insured on that policy. Exhibitors must also have a Certificate of Insurance forwarded to Equestrian Promotions, Inc. at least 30 days prior to the event, or if applying within 30 days of the event, upon applying for a booth. A new certificate is required each year. Exhibitors will not be permitted to set up their booths without this certificate, regardless of type of booth. No refund of booth rent will be made for failure to comply with this Insurance Certificate requirement. The company named on this Application must be the company named on the Insurance Certificate as the policyholder. If you do not currently have business liability insurance, we recommend contacting a company like www.dhcins.com, for affordable single event coverage.


Refund Policy
All refund requests must be made in writing to Equestrian Promotions, Inc., P.O. Box 924, Bel Air, Maryland 21014 or by email to info@horseworldexpo.com by dates shown below. Deposits are not transferrable to future Horse World Expo events.

Refunds of booth deposits and booth rental payments will be made if requested as follows:
Full refund if requested by 11/1/23; 50% if requested after 11/1/23, and before 12/15/23. No refunds will be made after 12/15/23 except per our COVID-19 Cancellation Policy shown below.


The person signing this Application for Booth Space expressly represents and warrants to Equestrian Promotions, Inc. that he/she is authorized by the exhibitor to bind it to the terms and conditions of this Application. The signer of this Application understands and agrees that he/she is personally bound and liable pursuant to the terms and conditions hereof in the event that such authority to bind the exhibitor does not exist.
